Sales business transformation division within Toyota Motor Europe is looking for an executive/personal assistant
Your responsibilities
- Act as personal assistant to Vice President (VP) of Sales Business Transformation and divisional assistant of the division.
- Manage VP and Head of calendars, schedule meetings and appointments
- Manage VP and Head of travel arrangement & expenses management
- Produce reports, presentations, and briefs
- Organize internal and external meetings (hotel, catering, venue, registration process)
- Follow up on HR processes such as holiday requests, yearly and mid-term performance reviews, onboarding of newcomers
- Act as the first point of contact of the division
- Monitor administrative procedures and provide support
Profiel
Your profile
- You have experience working as Personal/Executive Assistant in an international large scale company
- Excellent knowledge of the English language (Toyota Motor Europe business language) and mastering a local language is an asset
- Strong communication skills, both written and oral
- You have a sound knowledge of the Microsoft Package – Outlook, Teams, Word, Excel, PowerPoint
- Proactive and able to work & perform under pressure
- Flexible in handling last minute requests and changes
- Excellent internal customer attitude & people skills
- Works well in a team as well as independently
- Reliable and discrete, able to handle confidential material and information
